Arlington Youth Sports Board of Directors Meeting

Attendees : Jake Lage, Jeff Staats, Matt Nelson, Mathew Schaapveld, Tracy Hoesing, Sam Fletcher, Cody Jess, Angie Von Seggern, Scott Von Seggern, Michelle Wilkins, Shelly Staats, Nate Egbarts

Approval of agenda – Motion to approve made by Tracy H., second by Mat S., all approved

 

Public Comments – NA

 

Old Business

1. Review of security camera proposal – Eric Lozo sent out his bid, that include a total of 14 cameras, wireless access, server, some other items.  Jeff make sure the bid is still accurate. He will contact the village board member to see if they would like to piggyback on this system. Mat S. will contact someone at the school to see about purchasing a camera for field 2. 

Questions for Eric – 1) any cameras on backorder; 2) do prices go up or are we locked in and how soon when he gets the green light can it all be installed?

 

1. Discussion to find another meeting location for the winter months and combine the November and December meetings into one on December 5th, possibly in the Community Room at the Auditorium.   Motion to combine the meetings made by Jake L., second by Matt N. all approved

 

Treasurer’s Report

1. Review and approve proposed checking accounts for each sport and board treasurer will oversee them all
2. Accounting firm will keep track of all 10 accounts
3. There will be debit cards for complex and general/fundraising accounts
4. Treasurer of each sport and commissioner will be on the accounts.  They will need to present ID, etc. and they will have to go to the bank in person to do this.
5. Motion for sports accounts approved by Jeff S, second by Mat S., all approved
6. Bills to pay - $473.65 Athlete gifts and envelops (football), $143.00 Cookies and ground beef (football), $77.00 drinks (football), check to Greg Lang for mowing - motion to pay by Jake L, second by Tracy H, all approved

 

Committee Reports

1. Wrestling – NA
2. Basketball – given by Sam Fletcher

• Wednesday, October 26th parent meeting – board will collect checks
• Uniforms and shooting shirts have been ordered
• Practice shirt will be ordered next week
• Leagues start 1/7/23
• Will need to purchase basketballs, 10 for each grade (5 girls and 5 boys)

 

1. Volleyball – given by Matt Nelson
   • 1 more tournament on Saturday, then the season is done
   • Overall a good season

 

1. Football – given by Cody Jess
   • Season ended with banquet
   • Equipment check-in Tuesday, October 25
   • Will look over uniforms and consider new ones for next year

 

1. Baseball – given by Nate Egbarts
   • Meeting 2nd week of December
   • Start games 1st of March

 

1. Softball – given by Mat Schaapveld
   • 3 board openings coming up for election
   • Registration opens in January – close February 1

 

1. Complex – given by Angie Von Seggern and Jeff Staats
   • Building winterized last week
   • Heater still needs to be put in
   • Decision on fertilizer and seeding needs to be made by December from the AYS Board
   • Angie will talk to Mr. Shada on items the school may want to purchase from concessions and possible send out an email on item for sale

 

1. Fundraising – given by Michelle Wilkens and Shelly Staats
   • AYS Bingo night – Nov 18th, will not serve food, but will offer alcohol and also BYOB, will use slushie machine and pop corn machine
   • Shelly will email flier to Tracy for printing
